Job Description/Requirements

Human Resource Administrator (With the potential to grow as HR Manager)

Responsible for providing support in the various human resource functions not limited to recruitment, staffing, training & development, performance management, and more.

Duties and Responsibilities Include:

  • Support the recruitment process by posting internal and external job adverts, running interviews, reference checks, etc.
  • Run new staff induction, including training on policies and procedures
  • Payroll support and updates to Finance or Executive Leadership, as well as issuing monthly pay slips
  • Maintain personnel records (hard & soft* secure copies) and regularly ensure records are updated based on transfers, terminations, changes in job classifications, merit increases and other adjustments
  • Document human resources actions by completing forms, reports, logs, and records not limited to disciplinaries
  • Support staff members by providing official employment documents required by third parties, e.g. banks and other financial institutions
  • Coordinating with the External Auditors for the documents required by the Human Resource department.
  • Draft contracts for new staff, consultants and volunteers for CEO approval
  • Track leave and any other type of holiday or time taken from work; maintain a leave database and share the leave summary with the finance team monthly
  • Coordinate medical expenses that may be reimbursed by the company and advise employees on eligibility, verifying submissions and notifying employees of approvals or changes
  • Review employment and working conditions to ensure legal compliance
  • Ensure staff welfare to support the company’s strategic objectives through creativity and feedback
  • Assist in implementing the various stages of performance management 
  • Handle exit administration, and ensure that staff exiting have handed over all required assets

Education, Knowledge & Working experience

  • Minimum of a Diploma in Human Resources, Business administration, Industrial and Organisational Psychology or similar
  • Minimum working experience of 2 years in a busy HR generalist setup, preferably in an NGO.
  • Excellent knowledge of various HR functions such as pay & benefits, recruitment, onboarding, evaluation, training & development etc.
  • Good understanding of labour laws, HR functions and best practices

Skills and Abilities

  • Ability to handle highly confidential matters professionally & discreetly.
  • Excellent communication skills 
  • A high degree of flexibility to work extra hours and travel occasionally under strenuous conditions 
  • Outstanding organizational and time-management skills
  • Ability to multi-task

Hours – Monday to Friday 8.30 am – 5.30 pm (working outside these hours may be needed on occasion)
