The Opportunity
BWS seeks a Manager of Finance and Operations who will work closely with the Head of School, Facilities Manager, and accounting team to support the daily financial and operational functions of the school. This position is essential to fostering the systems, processes, and experiences that drive efficiency, coordination, safety, and sustainability across the financial and operational life of the school.
What You Will Do
Finance and Accounting
• Keep the Head of School informed of the organization's financial status through regular reports on income and expense activities and totals
• Receive internal financial requests and prepare and submit them for processing
• Liaise with partners and pay bills to ensure payments and deadlines are accurate and submit vendor bills for processing in a timely manner
• Manage vendor files and maintain timely and accurate records of deposited revenue including but not limited to student fees, development revenue, rent payments, etc.
• Oversee checks, invoices, donations, benefits, and staff reimbursements
• Prepare and reconcile credit card receipt packages for submission and reporting
• Distribute and collect yearly employment contracts
• Manage the processing of checks through the school's accounting software
• Manage memberships such as Costco, Instacart, and Amazon
• Collaborate with BWS's accounting and administrative team to maintain accurate cash inflow processing and financial records, and secure documentation for the organization's annual audit and 990 filing
• Support budgetary tracking of school expenses
• Attend Governing Board Finance Committee meetings, as needed
Operations
• Oversee facility maintenance, repairs, and improvements
• Ensure the implementation of all fire, life, and safety regulations and procedures to safeguard the well-being of all school staff and students
• Manage vendors and facilities staff, including maintaining vendor files
• Supervise janitorial staff to ensure the facility is well-maintained and a source of pride in the community
• Serve as the Point of Contact for all walkthroughs and inspections of the BWS facility
• Check and secure safety and security points and manage and distribute all BWS keys
• Perform other operations-specific or other duties as assigned
Information Technology
• Serve as the on-site IT contact, managing IT assets, assisting staff with IT issues, and acting as the main point of contact to regional and national IT staff
What You Will Bring
Minimum Qualifications
• A bachelor's degree in business administration or a related field, or a bachelor’s degree at least five years of experience in a finance and/or operations office environment, non-profit, or educational setting encompassing finance and/or operations responsibilities
• Strong analytical, organizational, and problem-solving skills
• Excellent communication and interpersonal abilities
• Computer skills with particular focus on Google Docs, Microsoft Word and Excel, Quickbooks, and Intacct
• Ability to manage up and keep senior administrative staff on schedule and on task
• A collegial, inclusive, and entrepreneurial spirit of problem-solving
